Position Summary:

The Sr. Purchasing Manager is responsible for developing procurement strategies and overseeing the purchasing of goods and services for the organization and for leading the daily operations and personnel of the Purchasing Department.  Duties include but not limited to; Facilitating and fine-tuning the company’s cross-functional Vendor Management process; Analyzing spend data to develop negotiation opportunities; Auditing vendors and payments relative to contract terms; Assisting in the refinement and execution of company’s Supplier Diversity program; Establishing performance goals and KPIs to measure savings, successes and enable continuous improvement; Utilizing the Coupa system to manage the procurement of all corporate and satellite office supplies,  goods & services;  identifying and implementing best purchasing practices and opportunities for savings, preparing bids and RFPs for all procured goods and services, managing of purchase requisition queue, and leadership of cross-functional sourcing projects.

                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                                       

General Duties/Responsibilities (May include but are not limited to):

·        Responsible for managing the quoting and procurement of all goods and services related to the daily operation of the corporate office and all satellite locations utilizing Coupa Procure to Pay in an indirect procurement/purchasing environment.

·        Prepare and analyze bids and RFP’s for the procurement of all goods and services, i.e.: Professional Services, Software, Print, Office Supplies, Promotional Items, outside services, etc.

·        Review purchasing data and identify cost reduction opportunities for Company with  existing supplier agreements.

·        Ensure information within receipts-related documents is accurate and up to date for monthly financial accruals.

·        Educate, train and update existing employees and new hires companywide involved in the purchasing and receiving process and functions within Coupa

·        Develop Change Management plans for new training and education of employees

·        Negotiate with suppliers for favorable pricing and terms and review supplier agreements.

·        Ensure proper SOW execution to avoid future scope / cost creep.

·        Accountable for ensuring financial accuracy of purchase orders and purchasing reports.

·        Partner and collaborate with Accounts Payable and Finance Teams in a seamless Procure to Pay process.

·        Ensure compliance to policies, ethics and goals in engagement of vendors per the Vendor Management process.

·        Manage centralized procurement files ensuring updates are made and overall maintenance is cared for including vendor files, contracts, leases, etc.

·        Manage Alignment Healthcare Buyers with process for purchase requisition queue, approve supplier adds, and ensure suppliers are within catalogs in Coupa.

·        Manage process for contract execution and storage via DocuSign and current storage process

·        Work with internal customers on sourcing goods and services.

·        Create monthly performance reports for management.

·        Assist the VP Strategic Sourcing & Procurement with special projects, sourcing events, etc.

·        Recognize and analyze the implications of new situations and develops workable solutions to maintain productivity and morale.

·        Role model in demonstrating the customer service standards of the department as well as the organization.

·        Lead Quarterly Business Reviews with key vendors.

·        Manage data for Supplier Diversity program.

·        Other related duties may be assigned.

·        Manage performance and workload of staff.

·        Train staff in current system and skill needs and enhance their skill for future growth.

1.      Minimum Experience:

a.      Minimum five years-experience in an indirect procurement/purchasing environment is required.

2.      Education/Licensure:

    1. BS in related field or minimum 5 years equivalent work experience required.

3.      Other:

    1. Proficient in MS Office Word, Excel, PowerPoint and Coupa Procure to Pay or equivalent eProcurement system.
    2. Must be detail oriented.
    3. Must have strong organization and analytical skills, the ability to prioritize and complete assignments on-time.
    4. Able to exercise discretion, good judgment, and handle matters of confidentiality.
    5. Excellent written and verbal communication skills.
    6. Strong customer service skills
    7. Demonstrated ability to take appropriate action when needed and follow tasks through to completion.
